Submitting a project
A proposal always answers a call. You find the calls open to you under Project calls in the researcher portal; you only see the calls of the platform your account is attached to.
Reading the call before answering it
Open a call to see what it commits you to: the platform behind it, its domain and type, its dates, the budget it offers, the thematic areas and activities a proposal may claim, the documents that must be attached, and the periods that make up its calendar — submission, administrative validation, expert assessment, appeals, financing, closure. The period the call is currently in is shown with its dates. Only the submission period lets a proposal be created and edited.
The documents the call publishes — the guidelines, the templates to fill in — are attached to it and downloaded from that same screen.
Creating the proposal
From an open call, choose Create project. You become the leader of that proposal. The form asks for:
- the name of the project and its internal ID;
- a description;
- the thematic areas, chosen from the list of the call, up to the number the call allows;
- the activities, likewise capped by the call;
- keywords;
- the expected start and expected end dates, from which the duration is computed;
- the total cost.
Once the proposal is created, the portal opens its own workspace: the Project Dashboard. Everything below happens there, and you come back to it from the menu under your name or from your list of projects.
Filling in the proposal
The workspace holds, in the left-hand menu:
- Work packages — the proposal cut into pieces, each with its dates, its cost and the members responsible for it.
- Objectives — what each work package has to produce, with a weight and a completion percentage.
- Meetings — the calendar of the team.
- Partners — the bodies taking part beside you, with their contribution.
- Budgets — the budget lines, filled in per group of the call.
- Project documents — the documents the call requires, uploaded here.
- Members, Invitations and Join requests — see Team and invitations.
The Project Details page is the one that tells you where you stand. As long as something required is missing, it shows a red notice for each: no start date, no end date, no budget, a required document not uploaded. The status of the proposal stays Incomplete.
Submitting
When nothing is missing any more, the status becomes Ready to submit, a green notice says so, and a Submit project button appears in the header of the Project Details page. It only appears if the call is still in a period that allows it: after the submission period closes, the button is gone, and a finished proposal that was never submitted stays a draft.
Choosing it opens a confirmation asking you to certify that the proposal follows the rules of the call. Once confirmed, the status becomes Submitted and the proposal leaves your hands.
After submission
The proposal then walks through the periods of the call, and its status follows:
- Submitted, then Validated or Rejected by the administrative review of the platform;
- Expert review and Under review while the assessors work on it — see Assessing a project;
- Expert rejection if the assessment does not pass the thresholds of the call;
- Financial review, then Financial rejection or Ongoing once the project is funded;
- Completed when it is closed.
A rejected proposal can be edited and submitted again, if the call is still in a period that allows it.
While the project runs
Once the project is Ongoing, the same workspace is where it is followed up: the work packages are marked off, the objectives progress, meetings are held and Project reports are filed for each period the call asks for. A printable sheet of the whole project is available from the project screen.
