Team and invitations

A proposal is carried by a team. The leader is whoever created it; the others join in one of two ways — they are invited, or they ask to join. Both are handled from the Project Dashboard of the project, under the Management group of the left-hand menu.

The members

Members lists everyone attached to the project, with the date they joined. From there the leader can see each member's profile — the identity, the affiliation, the degrees and the posts they entered themselves.

Members are assigned to work packages and to objectives: that is how the proposal says who does what.

Inviting someone

Invitations is the list of the addresses invited to this project, with who sent each one, when, and when it expires.

To invite somebody, choose New and enter their email address. That is all that is asked: an address is enough to send an invitation, and the portal asks for nothing else about a person who has not yet accepted.

The invitation goes out at once by email, in the language of the project. The message says who invited them, to which project, and — because the address was given to us by someone else — three things law 18-07 requires it to say:

  • where the address came from and who handed it over;
  • that it is kept thirty (30) days, the time for the invitation to be accepted, and erased automatically afterwards if no account was created;
  • the address of the data protection officer, to object or to have the address erased at once.

No reminder is ever sent.

An invitation is valid for thirty days. Once past, its date turns red in the list, it is marked Expired, and the person opening the link is told the invitation has expired and to ask the team for a new one. The leader can cancel an invitation that has not been accepted yet.

Being invited

An invitation you receive appears under Invitations in your researcher portal, with the project, the person who invited you and the expiry date. Two buttons: Accept, which attaches you to the project and opens its workspace, or Decline.

If you have no account yet, create one with the address the invitation was sent to — that is what ties the invitation to your new account.

Asking to join a project

A team may also open its proposal to requests. When the leader sets the project as open for join requests, and writes the terms on which it accepts them, the project appears under Projects → Open projects in the researcher portal of the other members of the platform.

From there:

  1. Open the project and read the terms it publishes.
  2. Send a join request.
  3. Follow it under Join requests in your researcher portal: it shows the project, its leader, the call it answers, the status of your request and the date it was reviewed. As long as it is pending, you can cancel it.

On the other side, the leader finds the requests under Join requests in the project workspace, reads the profile of whoever is asking, and accepts or rejects. Accepting adds the person to the members.

Leaving, and the leader's responsibility

A member can be removed from the project by its leader. The leader themselves cannot simply disappear: an account that still leads a running project cannot be deleted until the leadership has been handed to another member or the project has closed — a funded project must always have somebody answerable for it. This is explained in Your rights over your data.

Partners

Partners is a different list: the bodies — laboratories, universities, firms — taking part in the project, with their contribution. A partner is an organisation, not an account on the portal, and adding one gives nobody access to the workspace.
